NON PURCHASE ORDER PAYMENTS
Non-PO vouchers are used for payments that do not originate from a purchase order and when a supplier will not accept a purchase order or a P-Card. There is no dollar limit, but any payment over $5,000 must have approval from a Procurement buyer. Non-PO vouchers are created online in M-Pathways by department users with appropriate authorization.
Please note that the Non-PO voucher should not be used in lieu of the other procurement methods. You should use the Non-PO voucher only when no other payment method will work.
TIPS
- Vendor payments are made net30 of the date of the invoice.
- Departments should create the Non-PO vouchers in M-Pathways to speed up the processing time.
- Use the Invoice Numbering Guide to number your voucher correctly.
- Original vendor receipts must be attached to the Voucher Cover Sheet you submit to Accounts Payable
- Payments $10,000 and above are not finalized until a department representative approves the payment on-line.
- Tax Exemption - ask the vendor at the time of purchase if sales taxes can be excluded from the cost of the transaction.
- The University's designated travel agency is AAA. AAA also offers a UM employee discounted AAA membership. A variety of discounts are offered by AAA including a Northwest airfare discount program. You can make reservations by linking to http://www.autoclubgroup.com/michigan/promos/university_michigan.asp.
- The University participates in the Big 10 Car agreement with National Car Rental. Reservations (for both business and personal uses) may be made by calling National direct at 1-800-CAR-RENT (1-800-227-7368) or http://www.nationalcar.com/ . Be sure to use the University's Contract ID number 50000490 when making reservations.
Reimbursements for cash paid for services can not be done on a Non-PO Voucher. Contact accounts.payable@umich.edu for instructions.
